Apex Systems is a global IT services provider, and our staffing practice has an opening for a Business Administrator with experience with data hygiene in Microsoft tools, event planning experience (for the team and leader), and experience with Microsoft office suite to place at our client, a multinational technology corporation.
Client: Multinational technology corporation
Terms: Until 6/30/2025 with strong possibility of extension up to 18-month total contract length
Location: Vancouver – 3 days/week in-office

Job Description:
Our client is looking for a passionate and action-oriented Business Administrator to support their growing team. The primary functions of the role are to provide team support with general administrative/cross-group projects, and partner closely with central support/leadership teams to meet deliverables.
 
The ideal candidate works well in a fast-paced environment, is comfortable in an agile working style, can shift to changing needs quickly and embraces challenges head on with a calm sense of urgency, and a positive attitude.  A great candidate will work well in a team, be a thoughtful communicator and have well developed interpersonal skills. You are detail-oriented, able to multi-task, and practice consistent and timely follow-through. In this role, you will work as an extension of the team, taking initiative and implementing systems and processes where you see a need or opportunity for improvement.  You ensure confidential information is handled appropriately and with professionalism.
Requirements:
 

  • 2+ years of relevant work experience in administration or the equivalent.
  • Excellent customer service and competent written and verbal communication skills. 
  • Demonstrated skill of shifting approach in response to the demands of a changing situation.  
  • Ability to manage ambiguity, navigate uncertainty, and drive for clarity. 
  • Ability to collaborate across multiple teams & personality types.
  • Demonstrated organizational skills. 
  • Ability to be flexible and work quickly & efficiently. 
  • Proficiency with productivity software, including Word, Outlook, PowerPoint, Excel, and Teams meetings.
  • Excellent skills in all aspects of planning, collaboration, communications, analytical capabilities, and high level of attention to detail and proactive awareness. 

Preferred Qualifications:
 
  • Relevant work experience, knowledge, and skills that will enable you to perform the tasks of the job proficiently.
  • Knowledge of corporate organization and culture a plus.
  • Ability to travel.
*The ideal resume would showcase the ability to multitask and manage time effectively within projects and with leaders. Additionally, the ability to conduct data hygiene, event planning, and calendar management for a leader. The role requires adaptability, problem-solving, a go-getter attitude and willing to learn and grow.
Responsibilities
 
  • Assist with employee onboarding and offboarding, including hardware management.
  • Maintain relevant email groups and distribution lists.
  • Order office supplies and equipment for the team and new hires.
  • Calendar management for an org leader
  • Assist with the creation of new job requisitions.
  • Ensure employee data hygiene in the clients internal tools.
  • Manage team space and facilities requests. 
  • Coordinate catering, AV, venue selection, and logistics for internal events, morale events, team all hands meetings, and celebration events.
  • Be the first point of contact for all group administrative needs. 
  • Assist with PO creation and tracking as needed.
  • Assist with managing and planning the use of team discretionary budget, including morale, training and travel budgets.
  • Understand the organizations compliance policies and procedures and provide guidance to the team on said policies and procedures.
  • Partner with support staff across the organization to ensure consistent experiences.  
  • Manage & maintain a device library.
  • Build and maintain good business relationships with partners and staff both internally and externally.
  • Assist on special projects as required by the business team.

Top 3 Must Haves
 
  1. 3+ years experience with Data hygiene in Microsoft tools, such as making sure everyones titles and locations are correct.
  2. 3+ years experience with Event planning for the team and the leader.
  3. 2+ years experience with Outlook/ MS office suite

*The ideal candidate would have AI knowledge (this role is for an AI team), designed system experience like design libraries and good communication (necessary for pitching ideas to different teams effectively)
