Job Description:

Apex Systems is seeking a strong Administrative Assistant to join their clients team! This role is mostly remote, except for up to 1 day of in-office work per week in Alexandria VA!
Title: Administrative Assistant
Location: Remote (up to 1 day in office per week in Alexandria VA)
Compensation: $50K
 
Summary: The Administrative Assistant will provide essential administrative support, including scheduling, onboarding, offboarding, and task tracking, to facilitate the operations of the Academic Engagement Office.
 
Responsibilities:
  • Coordinate and manage appointments, meetings, and events for the Academic Engagement Office.
  • Arrange travel accommodations and itineraries as needed for staff and visitors.
  • Assist in the onboarding process for new hires, including preparing paperwork and coordinating orientation schedules.
  • Coordinate offboarding activities, including exit interviews and equipment return logistics.
  • Maintain and update task lists, ensuring timely completion of assignments and follow-up on outstanding items.
  • Monitor deadlines and milestones to support efficient project management within the office.
  • Serve as a central point of contact for internal and external inquiries, directing communications appropriately.
  • Prepare and distribute correspondence, reports, and presentations as needed.
  • Organize and maintain electronic and physical filing systems, ensuring accessibility and confidentiality of documents.
  • Assist in document preparation, editing, and formatting for reports and presentations.
  • Provide general administrative support, such as answering phones, ordering office supplies, and handling mail distribution.
  • Collaborate with other administrative staff to streamline office operations and enhance efficiency.
 
Qualifications:
  • Proven experience as an administrative assistant or in a relevant administrative role.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficiency in office software (e.g., MS Office Suite) and familiarity with administrative systems.
  • Excellent communication skills, both verbal and written, with attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Adaptability and willingness to learn new tasks and responsibilities as needed.
  • Must be able to maintain a DoD secret clearance.
